Stall Requirements Guidelines

The Empowering Migrants Expo 2025 is an inclusive and informative event aimed at supporting and empowering migrant communities by providing resources and networking opportunities. To ensure the smooth operation of the event and create a positive experience for all attendees, the following guidelines apply to all stallholders:

Stall Purpose and Focus

Stalls should aim to provide valuable information, resources and services that support the migrant community. Stallholders are encouraged to focus on the following:

Prohibited Activities

To maintain the focus and integrity of the Expo, the following activities are strictly prohibited:

Selling of Goods

Stallholders are not permitted to sell any physical items or products during the event.

Selling of Food and Beverages

Due to health and safety regulations, no food or beverages may be sold or distributed from stalls.

Fundraising Activities

While stalls may share information about their organizations, fundraising activities are not allowed during the event.

Stall Setup and Presentation

Stall Allocation

Each stallholder will be assigned a designated space at the venue. Please ensure you stay within your allocated area.

Display Materials

Stalls are encouraged to use banners, country flags, flyers, and other promotional materials to showcase their services, but please ensure all materials are respectful and appropriate for a family-friendly environment.

Furniture and Equipment

Tables and chairs will be provided by the event organisers. Additional equipment must be requested in advance and is subject to approval.

Electrical Appliances

If you require electrical outlets for your stall, please inform the organising team prior to the event. All electrical items must be compliant with safety standards.

Safety and Compliance

Public Safety

Stallholders are responsible for ensuring that their display and materials do not create hazards or obstructions.

Health and Safety Standards

All stallholders must adhere to the Expo’s health and safety regulations, including fire safety and crowd management, if applicable.

Event Conduct

Professional Behaviour

All stallholders are expected to behave professionally and respectfully towards visitors, other exhibitors and event staff.

Noise Levels

To ensure a conducive environment, please keep noise levels (such as from videos or sound systems) to a minimum. Loud or disruptive behaviour will not be tolerated.

Set-Up and Pack-Up Times

Set-Up

Stallholders can begin setting up their stalls from 7:30 AM on the day of the event. All stalls must be fully set up by 9:30 AM.

Pack-Up

Stalls should remain operational until the end of the Expo at 4:00 PM. Pack-up should be completed by 4:30 PM.

Insurance and Liability

Public Liability Insurance

All stallholders must have public liability insurance and provide a copy to the event organisers prior to the Expo, if requested.

Responsibility for Equipment

Stallholders are responsible for the safety and security of their own equipment and materials throughout the event.
